Add a product
- Open Inventory and press New product.
- Enter the Name, an optional SKU (code or barcode), the Category (Medication, Vaccine, Food, Supply or Service), the Unit you count in (tablet, ml, vial, bag…) and the Price.
- Leave Track stock on for anything you want counted, and set a Minimum stock level and the Opening stock you have now.
Stock goes down automatically when a product is billed, and up when a purchase order is received or an invoice is voided. Products at or below the minimum are flagged as low stock and listed on the dashboard.
Find what needs attention
The Inventory list shows active products, low stock, out of stock and total stock value. Use the filters for Low stock, Out of stock, Expiring ≤ 30 days and Inactive, or filter by category.
Batches and expiry
- Open a product and go to the Batches tab.
- Press Add batch and enter the Batch / lot number, Expiry date and quantity.
Expired batches are flagged red and those expiring within 30 days amber. Batches record lot numbers and expiry; they don't change the stock count itself.
Adjust stock
- On the product page, press Adjust stock.
- Choose Add stock or Remove stock and enter the quantity.
- Choose a Reason: Adjustment, Stock count, Purchase, Return, Sale, Expired or Damaged, and add a note.
Every change is listed on the Movements tab with the reason and who made it. The Sales and Purchases tabs show where the product went and where it came from.
Tip
Switch off Track stock for low-value items you don't want to count. Set a product to inactive to hide it from billing without losing its history.
