This agreement
These terms are an agreement between Vetlyn (“Vetlyn”, “we”, “us”) and the clinic, practice or organisation that creates a Vetlyn account (“the clinic”, “you”). If you sign up on behalf of a clinic, you confirm that you are authorised to accept these terms for it. Individual team members invited to a clinic’s account must also follow these terms.
By creating an account or using Vetlyn you accept these terms and our privacy policy. If you don’t agree, please don’t use the service.
Accounts and teams
- You must give accurate information when you sign up and keep it up to date.
- Each person needs their own login. Don’t share passwords. You are responsible for keeping login details safe and for activity under your clinic’s accounts.
- The account owner controls the clinic’s workspace: inviting and removing team members, assigning roles (owner, admin, vet, nurse, reception), and managing branches. Make sure each person only has the access they need, and remove access promptly when someone leaves.
- Tell us straight away at hello@vetlyn.co if you suspect unauthorised access to your account.
Professional judgement
Vetlyn is a record-keeping and practice management tool. It is not a veterinarian and does not give veterinary advice.
- All diagnosis, treatment, prescribing and other clinical decisions remain the responsibility of the clinic and its qualified veterinary professionals.
- AI Scribe output must be reviewed. Dictated or AI-assisted text can contain mistakes: misheard words, wrong drug names, doses or units, or missing details. A qualified vet must read, correct and approve any such text before it is relied on or saved to a record.
- Reminders, due dates, stock levels, reports and calculations in Vetlyn are aids. Check them against your own clinical and business judgement.
- The clinic is responsible for meeting the professional and record-keeping standards set by its veterinary regulator and local law.
Clinic responsibilities
Because the clinic is the controller of the data it enters (see our privacy policy), the clinic is responsible for:
- having a lawful basis to collect and store its clients’, patients’ and staff members’ information, and giving them any notices the law requires;
- getting any consent required before contacting clients, including reminders sent by WhatsApp, SMS or email from staff members’ own devices;
- the accuracy of the information it enters, and the content of messages, consent forms, referral letters and invoices it creates;
- deciding whether browser-based speech recognition used by AI Scribe is appropriate for its practice (see how dictation works);
- keeping its own exports or backups where its regulator or local law requires records to be retained.
Acceptable use
You agree not to, and not to let anyone else:
- use Vetlyn for anything unlawful, fraudulent or harmful, or to store content you have no right to store;
- try to access another clinic’s data, probe or bypass our security, or test vulnerabilities without our written permission;
- disrupt or overload the service, or use bots or scrapers against it beyond the export tools we provide;
- upload malware or files designed to harm systems;
- use Vetlyn to send spam or unsolicited messages;
- resell, sublicense or provide Vetlyn to third parties as a service, unless we’ve agreed in writing (for example, as a partner);
- copy, reverse engineer or build a competing product from Vetlyn, except where the law expressly allows it.
Found a security issue? Please report it responsibly to hello@vetlyn.co.
Your data
- You own your data. Everything your clinic enters into Vetlyn remains yours. We claim no ownership of it.
- You give us permission to host, store, copy, display and process your data only as needed to provide, secure and support Vetlyn for you, and as described in our privacy policy.
- We will not sell your data or use clinic records for advertising.
- Export any time. You can download CSV exports and a full JSON backup of your clinic’s data whenever you like, including during the trial and after you decide to leave.
- If you close your account, we delete your clinic data as described in our privacy policy. Export anything you need first.
Free trial
New clinics can use Vetlyn free for 30 days. No credit card is needed to start. At the end of the trial you can choose a paid plan once paid plans are available, or stop using Vetlyn and export your data. We won’t charge you automatically for a trial you started without giving payment details.
Fees and payment
Paid plans have not launched yet, and you won’t be charged for using Vetlyn until they do. When paid plans launch, prices will be shown on our website before you buy, and you’ll only pay if you choose a plan.
- Payments will be handled by Paddle, which acts as our merchant of record. Paddle will process your payment, issue invoices and handle applicable sales taxes, and its own buyer terms will apply to the purchase.
- Subscriptions will renew automatically for the billing period you choose until cancelled. You will be able to cancel at any time, effective at the end of the current period.
- We’ll give you at least 30 days’ notice before any price change affects your subscription.
Third-party services
Some features rely on services we don’t control, such as your browser’s speech recognition for AI Scribe, or WhatsApp, SMS and email apps on your own device for reminders. Your use of those services is governed by their providers’ terms, and we aren’t responsible for how they operate.
Availability and changes
We work hard to keep Vetlyn fast and available, but we don’t promise it will be uninterrupted or error-free. We may need to carry out maintenance, and outages at our hosting or database providers can affect us. We’ll try to give notice of planned downtime.
Vetlyn is actively developed. We may add, change or remove features. If we remove a feature your clinic relies on in a material way, we’ll tell you in advance where we reasonably can.
Our intellectual property
Vetlyn’s software, design, brand and content belong to us or our licensors. We grant you a limited, non-exclusive, non-transferable right to use Vetlyn for your clinic’s internal operations while your account is active. If you send us feedback or suggestions, we may use them to improve Vetlyn without any obligation to you.
Disclaimers
To the fullest extent the law allows, Vetlyn is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement. Nothing in these terms excludes rights you have under consumer or other laws that cannot be excluded.
Limitation of liability
- We are not liable for indirect, incidental, special or consequential losses, or for lost profits, revenue, goodwill or data, arising from your use of Vetlyn.
- We are not liable for clinical outcomes or for decisions made using information in Vetlyn, including AI Scribe output, reminders or reports. Those decisions remain the clinic’s responsibility.
- Our total liability for all claims relating to Vetlyn in any 12-month period is limited to the greater of the amount you paid us for Vetlyn in those 12 months, or USD 100.
- Nothing in these terms limits liability for fraud, for death or personal injury caused by negligence, or for anything else that cannot be limited by law.
Indemnity
You agree to compensate us for reasonable losses and costs arising from claims by third parties that result from your breach of these terms, your unlawful use of Vetlyn, or data you entered without the right to do so.
Suspension and termination
- You can stop using Vetlyn at any time. To close your clinic’s account and have its data deleted, email hello@vetlyn.co from the account owner’s address.
- We may suspend or close an account that seriously or repeatedly breaches these terms, puts other clinics or the service at risk, or where the law requires. Unless it would be unlawful or create a security risk, we’ll tell you first and give you a reasonable chance to fix the problem and export your data.
- If we ever decide to discontinue Vetlyn, we’ll give at least 60 days’ notice so you can export your data.
- Sections that by their nature should continue (such as data, disclaimers, liability, indemnity and governing law) survive termination.
Changes to these terms
We may update these terms, for example when paid plans launch. We’ll change the “last updated” date above and, for material changes, notify account owners by email or in the app at least 14 days before they take effect. If you keep using Vetlyn after that, the updated terms apply. If you don’t agree, you can export your data and close your account.
Governing law
These terms are governed by the laws of Pakistan. We’d always prefer to resolve concerns informally first, so please contact us. If a dispute can’t be resolved that way, the courts of Pakistan will have jurisdiction, without affecting any mandatory rights you have to bring proceedings where you are based.
General
- These terms, together with our privacy policy and cookie policy, are the entire agreement between us about Vetlyn.
- If any part of these terms is found unenforceable, the rest stays in effect.
- If we don’t enforce a right straight away, we haven’t waived it.
- You may not transfer your account or these terms without our consent. We may transfer them as part of a merger, acquisition or sale of assets, and will tell you if we do.
- Neither of us is responsible for delays caused by events beyond reasonable control.
