Generate and send reminders

Create vaccine, appointment and payment reminders in one click and send them by WhatsApp, SMS or email.

In the appReminders4 sections

Generate reminders

On the Reminders page, press Generate reminders. Vetlyn looks for:

  • Vaccines due within your reminder lead time (set in Settings → Clinic), or overdue by up to 30 days. One reminder per pet and due date lists every vaccine due.
  • Appointments booked in the next 48 hours, scheduled for a day before the visit.
  • Payments: issued invoices with an unpaid balance a week after they were issued.

Reminders that already exist are skipped, so you can press it as often as you like. Owners with no phone or email are skipped and counted in the message.

How the channel is chosen

WhatsApp if the client ticked Send reminders on WhatsApp and has a phone number; otherwise SMS if there's a phone number; otherwise email. You can change the channel on any reminder with Edit.

Send them

  1. Open the Due now tab.
  2. Press Send on a reminder. It opens WhatsApp, your SMS app or your email on this device with the message filled in.
  3. Send the message, then press Mark sent in Vetlyn so it's logged. Or use Mark all due as sent when you've sent them all.

Good to know

Vetlyn doesn't send messages by itself yet: they go from the staff member's own WhatsApp, phone or email. Automatic sending is planned.

Add a reminder by hand

Press New reminder to schedule a one-off: choose the client, optional pet, the Reminder type (Vaccine, Appointment, Follow-up or Payment), the channel (Automatic picks as above), and when it's due. Leave the message blank to use the standard friendly message for that type.

The tabs Scheduled, Sent and All show the rest. Scheduled reminders can be edited or cancelled.
