Book, reschedule and check in an appointment

Use the Day, Week and List views, book from an empty slot, move bookings and run the check-in flow.

In the appAppointments5 sections

The three views

  • Day: a column for each vet (plus Unassigned), with rows at your slot length. Click an empty slot to book that vet at that time.
  • Week: the week at a glance, day by day.
  • List: a filterable list by day, week, month, upcoming or all, with filters for status and vet. Cancelled appointments only show here.

A strip above the calendar counts the day's appointments by status.

Book an appointment

  1. Click an empty slot on the Day grid, or press New appointment.
  2. Search for the Client, then the Patient. You can also search the pet directly; the owner fills in automatically.
  3. Optionally choose a Service from your price list. It fills in the duration and reason.
  4. Choose the Vet (or leave Unassigned), the start time and the Duration (minutes). The end time is shown underneath.
  5. Add a Reason and any Notes for the team, then press Book appointment.

Overlap protection

If the vet is already booked at that time, Vetlyn tells you who with and when, so you can pick another time or vet. Times are always in the clinic's time zone.

Reschedule or edit

Open the appointment and press Edit / reschedule. Change the time, vet, duration or details and save. The same overlap check applies.

Check-in flow and statuses

Each appointment moves through these statuses, using the buttons at the top of the appointment page:

  1. Booked → press Check in when the owner arrives.
  2. Checked in → the vet presses Start exam, which opens the visit record.
  3. In exam → press Complete when the visit is finished.
  4. Done.

Before the exam starts you can also mark an appointment as No-show or Cancel it. Closed appointments can be put back with Re-book. Every change is recorded in the Status timeline with who made it and when.

Send a reminder and bill

The WhatsApp reminder button opens WhatsApp with a message about the appointment already written; it appears when the client has a phone number. The Bill button opens Quick bill for this client and pet.
