Invoice statuses

StatusMeaning
DraftStill being prepared. Can be edited or deleted.
UnpaidIssued to the client with a balance due.
PaidPayments cover the total. Set automatically.
VoidCancelled. No longer counts towards billing; payments stay on record.

Edit an invoice

  • Add item adds a service, product or custom line. Each line can be edited or removed. Changing a product's quantity updates stock automatically.
  • Discount: press Edit beside it to enter an amount.
  • Apply coupon: enter a code from Coupons. Coupons can be a percentage or a fixed amount, with optional dates and a maximum number of uses.
  • Press Issue to turn a draft into an unpaid invoice.

Record a payment

  1. Press Record payment.
  2. Enter the Amount (it defaults to the balance), the Method (Cash, Card, Bank transfer or Other), an optional Reference and when it was paid.
  3. Save. Recording a payment on a draft issues it. When payments cover the total, the invoice becomes Paid.

Every payment appears on the Payments page, with totals by method for the period you choose.

Void an invoice

If an issued invoice was wrong, press Void. Products on it are returned to stock, and any payments stay on record for your books. Only the owner or an admin can void invoices. Drafts don't need voiding; use Delete draft.

Tip

The Invoices page shows billed, collected and outstanding totals for the selected period, so you can see at a glance who still owes money.
